The Rental and Operations Supervisor is responsible for leading and maintaining inbound receiving,

depot operations, laundry and decontamination activities, outbound dispatch, inventory

management, ERP/WMS transaction accuracy, compliance, and people management.

The role ensures that quality control standards are embedded, adhered to and measured throughout the rental operation and asset lifecycle, from return, inspection, cleaning, and testing through to storage, dispatch, and customer delivery, ensuring operational efficiency, asset integrity,

and customer satisfaction.

Key Responsibilities:

Quality Management & Compliance

• Drive a culture of quality across all areas of the rental business.
• Set the required quality standards for employees/job functions.
• Continuous training on SOP’s and work instructions for all staff
• Ensure compliance with Quality Management System requirements, SOPs and work instructions.
• Conduct quality inspections of inbound, cleaned and outbound equipment.
• Set criteria to be used for measurement and evaluation of operational staff performance
• Regular and continuous measurement of work completed against the set standards.
• Alignment and correction of staff and/or processes when the required standard is not met.
• Proactive identification and resolution of operational issues.
• Implementation of continuous improvement initiatives.
• Maintain complete and audit-ready operational documentation.
• Support internal and external audits and corrective action activities.
• Weekly and Monthly reporting on performance standards.

People Management

• Lead and manage Rental Technicians, Laundry Operators and Depot Support Staff with strong focus on quality ownership and accountability.
• Provide training on operational work flows and processes to be followed.
• Setting, explaining and implementing the required standard to which work must be performed.
• Continuous measurement of staff performance against agreed standards.
• Continuous training and alignment of staff to the agreed work processes and required standard.
• Conduct performance reviews, coaching and development plans.
• Manage attendance, productivity, discipline and corrective action processes.
• Establish KPIs across receiving, dispatch and laundry operations.
• Foster a culture of accountability, quality, safety and continuous improvement.

Inbound Receiving & Inventory Management

• Manage all inbound receiving activities for returned rental equipment and consumables.
• Ensure complete and accurate completion of manual receiving documentation.
• Ensure equipment is inspected, recorded and routed correctly through cleaning and     decontamination processes (Separating operational and faulty systems).
• Maintain inventory accuracy through cycle counts and stock audits.
• Investigate discrepancies, shortages and damaged equipment.
• Ensure all returned asset transactions are uploaded correctly and accurately in ERP/WMS systems.

Depot Operations & Asset Lifecycle Management

• Manage daily depot operations including receiving, laundry, decontamination, inspection, storage and dispatch preparation.
• Ensure the depot is kept clean and tidy at all times as per the required standard.
• Continued repair, maintenance and upkeep of depot facilities.
• Ensure correct use of PPE and safety compliance is implemented and followed
• Coordinate movement of assets between receiving laundry, repair and storage areas.
• Review and ensure asset operational and aesthetic quality in every step of the cleaning and testing process.
• Monitor turnaround times from returned equipment to dispatch.
• Ensure effective and timely repair and maintenance of assets for continuous quality upkeep. 

Outbound Dispatch & Logistics

• Manage daily dispatch planning and execution.
• Ensure all equipment has completed cleaning, inspection and quality release signoff before dispatch.
• Ensure asset status is correct for dispatch and installation on the ERP/WMS system.
• Ensure complete and accurate completion of manual dispatch documentation.
• Assessment of vehicles for required repair and maintenance to ensure quality upkeep · Management of vehicle allocation, scheduling and route planning.
• Monitor delivery performance against agreed standards and customer SLA requirements. 
• Resolve operational bottlenecks affecting customer deliveries.

ERP / WMS Systems Management

• Ensure accurate and quality data upload and upkeep on the ERP/WMS system.
• Ensure all asset status changes are processed correctly in ERP/WMS systems.
• Review and ensure transactional uploads are done at point of customer asset installation, swop or collection.
• Review uploaded transactions to ensure agreed data accuracy standards are met and continuously upheld.
• Drive and ensure transactional discipline and system compliance daily.
• Generate operational KPI reports and dashboards.

 Operations

• Lead and coordinate day-to-day operational activities to ensure efficient warehouse operations, inventory control, resource utilization and service delivery.
• Manage operational capacity, labour allocation and workflow planning to meet business demands and customer service requirements.
• Oversee warehouse operations, including inventory storage, stock control, stock transfers, picking, packing, assembly and dispatch preparation to ensure operational efficiency and product availability.
• Ensure inventory accuracy through effective cycle counting, stock takes, reconciliation processes and disciplined operational controls.
• Utilise ERP systems to monitor inventory movements, operational performance, capacity requirements and resource planning, ensuring data accuracy and operational visibility.
• Oversee vehicle utilisation, tracking and operational readiness to support efficient logistics, distribution activities and service delivery requirements.
• Analyse and report on operational performance, inventory accuracy, productivity, resource utilisation and implementing corrective actions and continuous improvement initiatives where required

Repair and maintenance

• Lead and manage Day and Night Shift Bench Technicians, embedding a culture of quality ownership, accountability and continuous improvement throughout all repair and maintenance activities ·
• Manage the repair, maintenance and refurbishment of the rental asset fleet to ensure equipment remains safe, compliant, reliable and of a good operational and aesthetic standard available for customer use.
• Monitor technician performance, provide technical guidance, coaching and training, and ensure adherence to approved repair procedures, quality standards and safety requirements.
• Review repair quality, maintenance records and asset history to identify recurring equipment issues, drive corrective actions and improve fleet reliability.
• Ensure repair turnaround times are achieved while maintaining the required operational and aesthetic quality standards of rental assets.
• Manage spare parts requirements and coordinate with relevant departments to minimise equipment downtime and maximise fleet availability. 
• Develop and implement preventive maintenance programs to improve asset lifespan, reduce failures and support operational continuity.

Qualifications & Experience

• Diploma or Degree in Operations, Logistics, Supply Chain or related field.
• 3 to 5 years supervisory experience in warehousing, logistics, depot operations, distribution or rental operations.
• Proven ERP/WMS experience.
• Experience managing employee performance, conducting training, coaching, developing teams, and disciplinary processes.
• Experience managing receiving, dispatch, inventory and depot operations.
• Demonstrated experience with quality processes, control and management
• SOP development, implementation and adherence
