Position: Senior Service Administrator (VTE)
Location: Barnwood Point Business Park
Job Type: Full Time, Permanent
Hours: 37 hours per week, Monday to Friday
The Impact You Will Have:
We are looking for an experienced and highly organised Senior Service Administrator (VTE) to join our Service Support team. This is a key role responsible for coordinating service visits, managing maintenance plans and assets, and ensuring the smooth and timely delivery of services to our customers.
You will play a vital part in managing service contracts, rental agreements and repair requests, while working closely with service engineers, rental depots and internal stakeholders. This role suits someone who thrives in a fast‑paced environment and takes pride in delivering excellent customer service with strong attention to detail.
Key Duties and Responsibilities:
- Coordinate and schedule service contracts and maintenance plans, ensuring equipment is serviced and compliant
- Manage asset data within the ERP system, including creating and maintaining equipment records and linking them to contracts
- Process order confirmations and close orders, including invoice generation where required
- Process rental agreements and create equipment reservations
- Handle back‑office tasks requested by field service engineers, including follow‑on work
- Maintain accurate service records and proactively follow up on pending repair requests
- Collaborate with service engineers and team members to ensure timely completion of service activities
- Schedule engineers’ work where required
- Monitor and manage inventory of service‑related materials and equipment
- Work closely with rental depots on new orders and equipment swap‑outs
- Produce contract performance reports via ERP systems and/or Power BI
- Prepare and distribute reports and documentation, ensuring KPIs and SLAs are achieved
- Maintain accurate data across CRM systems and customer portals
- Provide a high standard of customer service, responding promptly to customer enquiries
- Support the wider team by assisting with training, deputising for the Supervisor and contributing to new system implementations when required
Skills and Experience:
- Experience using SAP and Salesforce (desirable)
- Strong organisational and time‑management skills with the ability to meet deadlines
- Proven customer service focus
- High level of accuracy and attention to detail
- Confident data management skills
- Good working knowledge of Microsoft Office (Excel, Outlook and Word)
- Strong written and verbal communication skills
- Ability to work well under pressure in a deadline‑driven environment
- Methodical, analytical and logical approach to problem‑solving
- Proactive, self‑motivated and a collaborative team player
- Understanding of ISO9001 Quality Management standards
Additional Information:
- This role does not involve direct line management responsibility
- You will work with both internal and external customers
