The Rental Technician is responsible for the efficient delivery, installation, exchange, and collection of rental mattress and pump systems, ensuring all customer requirements and Service Level Agreements (SLAs) are met. The role focuses on maintaining accurate records, safeguarding company assets, ensuring equipment traceability, and providing excellent customer service. By adhering to company policies, procedures, and quality standards, the Rental Technician contributes to operational efficiency, billing accuracy, customer satisfaction, and the overall success of rental operations. 

 

As the Rental Technician (12-Month Fixed-Term Contract ) you will be responsible for: 

 

Essential Duties and Responsibilities:

Customer Service & Relationship Management

 

Build and maintain strong professional relationships with customers in hospitals, clinics, aged care facilities, and other healthcare institutions. 

Deliver excellent customer service and clinical support when required. 

Ensure effective communication with ward staff, nursing personnel, matrons, personal assistants, and other customer representatives regarding deliveries, installations, collections, exchanges, and service matters. 

Represent the company professionally at all customer sites. 

Escalate customer concerns, complaints, or service issues to the Rental Operations Supervisor where necessary.

 

Service Delivery & SLA Compliance 

 

Deliver and install, exchange, and collect rental systems within the company SLA requirements, within the required 4-hour turnaround time from receipt of the customer request. 

Ensure the correct mattress and pump system is delivered, installed, and collected from the correct ward, department, or patient location. 

Troubleshoot and perform fault finding on rental pumps and mattress systems. · Provide installation and operational training to end users when required. · Be available for after-hours standby and call-out duties on a rostered basis or as instructed. · Ensure efficient service turnaround through effective route planning and stock management. 

 

Rental System & Asset Management  

 

Demonstrate sound knowledge of all company rental mattress and pump systems. · Correctly identify all rental assets and associated serial numbers.  

Maintain accountability for rental equipment assigned, transported, installed, exchanged, and collected.  

Ensure all rental assets are handled, transported, and stored correctly to prevent damage and extend asset life.  

Assist in cleaning, decontamination, and infection control processes as required.  

Report lost, damaged, missing, or non-functional equipment immediately.  

Conduct cycle counts, stock takes, and asset verification activities as required. 

 

Data Capture, Documentation & System Accuracy  

 

Accurately capture all installation, cancellation, and fault replacement transactions on the Array system or any designated company platform.  

Ensure all customer details, patient information, ward details, contact information, asset details, serial numbers, installation, and collection dates are verified for completeness and captured accurately. 

Ensure all transaction records support accurate billing, reporting, and asset traceability. · Promptly correct any identified discrepancies or data errors.  

Maintain accurate transaction logs and service records for all rental assets.  

 

Customer Sign-Off & Record Management  

 

Obtain all required customer signatures electronically on the Array system for installations, exchanges, and cancellations.  

Ensure installation and installation registers are completed accurately and signed by the customer at the time of service.  

Ensure cancellation and collection registers are completed accurately and signed by the customer at the time of service.  

Ensure physical registers correspond with transactions captured on Array.  

Maintain complete, accurate, and auditable records in accordance with company requirements.  

Submit completed documentation within required times. 

 

Vehicle Management  

 

Maintain company vehicles in a safe, clean, lawful, and roadworthy condition.  

Conduct daily vehicle inspections and complete required vehicle checklists.  

Report accidents, damages, defects, maintenance requirements, and licensing concerns immediately.  

Comply with all company vehicle policies and road traffic regulations.  

Ensure vehicles carry adequate stock to support efficient service delivery. 

 

Operational Support  

 

Assist with laundry, decontamination, and operational activities when required.  

Work collaboratively with Rental Operations, Customer Service, Billing, and Technical Service teams. 

Advise management of operational trends, risks, customer feedback, and market developments.  

Perform any other duties reasonably required by management.  

 

Quality, Health & Safety  

 

Build quality into all aspects of work by maintaining compliance with company quality standards and procedures.  

Comply with all infection prevention and control requirements.  

Take reasonable care for personal safety and the safety of others.  

Report hazards, incidents, unsafe conditions, and accidents immediately.  

Maintain compliance with all company policies, procedures, and regulatory requirements.    

 

Administrative Duties:  

 

Complete all installation, cancellation, and fault replacement records accurately.  

Complete transactions logs relating to bed days, contracts, asset movements, serial numbers, customer details, service records, and rental activity.  

Complete vehicle inspection checklists, handover documentation, and cleaning records. · Ensure all customer signoffs are obtained and retained.  

Maintain accurate and complete records to support billing processes.  

Ensure all documentation is submitted within required timelines. 

Ensure physical records and electronic records are aligned and auditable. 

 

Knowledge/Skills/Experience 

 

Grade 12 or equivalent. 

1-2 years' relevant work experience. 

Customer service experience. 

Previous experience working with job card or service management systems. 

Ability to accurately capture and manage electronic records. 

Experience using tablets, handheld devices, and mobile applications. 

Valid driver's license. 

Experience driving and maintaining a company vehicle. 

Ability to work independently. 

Ability to manage workload in a fast-paced service environment. 

Availability to work standby after hours, weekends, and public holidays when required.
